From 25th May 2018, most processing of personal data by organisations will have to comply with the new General Data Protection Regulation. (GDPR)

Our new privacy policy sets out the way we process your personal data to make sure you are aware of how we use your data. Personal data means any information from which an individual can be identified.

We may update our Privacy Policy from time to time and when doing so will at the start of the Privacy Policy tell you when it was last updated.

Who are we

We are a private firm of chartered surveyors incorporated in England providing professional advice and services relating to property matters.

For the purpose of the GDPR and UK data protection laws, the data controller is Lawrence-Vacher llp (LVP) of Metroline House, 118 College Road, Harrow, Middlesex HA1 1BQ.

This privacy policy sets out the way we process your personal data to ensure you are aware of how we use your data.

How we collect your information

When you initially contact us either by telephone, email, letter, face to face, enquiries on our website or by referral from a third party and before engaging our services we may request of you certain personal information as a record of our contact and communication.

Once you engage our services we will request of you personal information such as your name, address, telephone number and email address, in order that we may effectively provide our services to you. If you do not agree to provide the information or restrict our use of it we may not be able to perform our services or enter into a contract of engagement with you.

The type of information we collect from you

We may collect all or some of the following information:
  • Your full name, postal address, e-mail and telephone numbers (land lines and mobiles)
How we use your personal data

We will only use your personal data for the purpose of fulfilling our obligations and contractual agreement with you to the extent necessary to provide the service/ services for which we are instructed and subsequently confirmed to you in our letter of engagement.

Whilst we will always respect your wishes in respect of what type of communications you want to receive from us and how this is communicated to you, there are some communications that we may need to send you regardless, so as to fulfil our contractual relationship. For example where we acknowledge payment receipts or chase matters concerning our engaged service with you.

Sharing your information with others

We do not share or disclose your personal data with any third party without your express permission other than where it is necessary for a third party to contact you in connection with a service you have asked us to perform.

How long we retain your information

We will keep your personal data as part of the job file for a maximum of 13 years from the date of the completion of the service we have undertaken for you so that we comply with legal and regulatory requirements.

Your rights

It is important that you understand and are aware of your rights in relation to the personal information we process and hold about you.

Under certain circumstances, by law you have the right to:
  • Request access to your personal data. This allows you to receive a copy of the personal data we hold about you and to check that we are lawfully processing it
  • Request correction of the personal data that we hold about you. This enables you to have any incomplete or inaccurate information we hold about you corrected.
  • Request erasure of your personal data. This enables you to ask us to delete or remove personal data where there is no good reason for us continuing to process it. You also have the right to ask us to delete or remove your personal data where you have exercised your right to object to processing (see below).
  • You have a right to object to the processing of your personal information and/ or to restrict its processing other than where we can demonstrate that it is on legitimate grounds and which may override your own interests or where we need to process your information to investigate, protect or defend us or others from legal claims.
  • Request the restriction of processing of your personal data. This enables you to ask us to suspend the processing of personal data about you, for example if you want us to establish its accuracy or the reason for processing it.
  • Request the transfer of your personal data to another party (data portability).

Please note that the above rights are not absolute and we may be entitled to refuse requests where exceptions apply or the law requires us to do so.

In the majority of cases if you do not agree to the way we lawfully process your information or withdraw your consent to our use of it we may not be able to continue to provide our services to you which could negate any continued contractual agreement that we have with you.

How do we protect your information

We use appropriate technical and organisational measures to protect the personal information that we collect and process about you. The measures we use are designed to provide a level of security appropriate to the risk of processing your personal information.

We take care to allow access to personal information only to those who require such access to perform their tasks and duties and to third parties who provide services to us or otherwise have a legitimate purpose for accessing it. Whenever we permit a third party to access personal information, we will implement appropriate measures to ensure the information is used in a manner consistent with this Privacy Policy and that the security and confidentiality of the information is maintained.

Unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your information transmitted to our site; any transmission is at your own risk.

Information you provide to us is stored on our secure server. We have implemented appropriate physical, technical and organisational measures designed to secure your information against accidental loss and unauthorised access, use, alteration or disclosure.
